Documents land in an encrypted evidence vault, are read with layout-aware OCR and scored against versioned rules. A reviewer approves or corrects the type, then each document goes to the right place: payables, receivables, bank or expenses. Nothing can post or pay from here.
Xero bank feeds and approved statements are checked against their balances, then matched to invoices and bills by amount, reference, contact and date. Clear matches go to a reviewer with the reasons shown; anything unclear opens a finance-inbox exception.
A validated bill or invoice becomes a command that must tie exactly to its evidence. A second reviewer approves it, and Xero receives a draft with a unique key so it can never be posted twice. If the reply is uncertain, nothing retries blindly: an admin verifies first.
After every Xero sync, TrueForth Finance freezes a snapshot of receivables, payables and bank position with its sources and cut-off, and checks it for completeness. Complete snapshots feed the control centre and reviewed reports; gaps become document requests in the client portal.
Integrity failures and unresolved items from every worker land in one finance inbox, de-duplicated by fingerprint. Staff assign each one, request named documents from the client, or run a tightly bounded agent to prepare the fix. A person always records the resolution.
